TERMS & CONDITIONS

RENTAL AGREEMENT TERMS AND CONDITIONS & GENERAL HIRING INFORMATION

This agreement is between Cotswold VW Camper Hire Ltd (owner, we, us, our) and you the hirer as specified in your Booking Confirmation).

​

 

BOOKINGS AND ENQUIRIES

 

Weekly bookings are generally Saturday to Saturday and weekend bookings a minimum of 3 nights, unless otherwise agreed.

​

  1. To make an enquiry go to the AVAILABILITY page. Check availability by clicking on Check Dates. If your required dates are available click Book Now to enter your details and Continue to Checkout.  No monies are required or taken at this stage.

  2. We will email you confirmation of your booking once we have had sight of all necessary I D paperwork and carried out an online DLVA licence check.  Please note: the same ID and DVLA licence check will be necessary for any additional drivers.  

  3. On confirmation of your booking we will request 50% of the hire cost.  The balance will fall due 6 weeks prior to the hire date.  If the booking date is within 6 weeks of the hire date then full payment will be required on booking.  Payment can be made by online banking or major credit/debit cards.  We do not accept cash or cheques.​

  4. The security deposit of £1000 (to cover insurance excess) or £1500 if hiring for festivals, concerts, sporting or Corporate events will be required the day before hire and can be made by online banking or major credit/debit cards.

 

SECURITY DEPOSITS

 

A security deposit of £1000 or £1500 for festivals, concerts, sporting or corporate events is taken the day before collection.  As mentioned above  this can be paid by online banking or major credit/debit cards.  The deposit will be released back to you within 7 working days of the end of your rental period provided that the vehicle has been returned on time and in a clean, undamaged and satisfactory condition along with the contents itemised on the inventory.  If our vehicle is returned in an unsatisfactory condition the relevant costs will be deducted from the security deposit. 

 

DRIVERS   

                       

All drivers must be between the ages of 30 – 75 and have held a Full UK Driving License or EU Licence for a minimum of 2 years. 

 

Any driving convictions, accidents, insurance refusal, endorsements, disabilities or medical conditions must be declared prior to booking. In certain circumstances insurance may be refused or a surcharge payable. Two x 3 point convictions are acceptable (ie. 2 x Sp30's, (3 pts each)) without VW Camper Hire Ltd to carry out a FULL DVLA License Check.

 

Before your booking can be confirmed we  must have site of the following I D:

(originals MUST also be presented on collection of the vehicle - we do not accept photocopies on collection)

 

  • Driving Licence 

  • 2 x Additional Forms of I D

    • 1 x utility bill ie electric, gas, water, broadband, council tax or landline

    • 1 x bank or credit card statement

 

*both of the additional forms of I D must be in the drivers name, dated within the last 90 days and the address must match the driving licence.

No-one other than the hirer(s) named in the Rental Agreement may drive the vehicle.

 

INSURANCE & EXCESS

Insurance is included within the hire charge. In the event of any accident, loss or damage, you will be liable to pay the first £1000 or £1500 (for festivals, concerts and sporting or corporate events.

(ie. equivalent to the Security Deposit paid.)

See paragraph 2 under the DRIVERS section above for Insurance Restrictions.

In the event of an accident you are obliged to report this to us immediately and must not admit liability.  You must gather as much information from the accident scene as possible by completing the Accident Form in the glove compartment and take photographs where possible.  The completed Accident Form  must be passed to Cotswold VW Camper Hire  and you must fully assist with the claim until it has been closed by our insurers.   Your security deposit will be used to cover the excess in the event of any claim on our insurance.

Additional drivers will incur an additional cost of £10 per day to cover the additional premium.

​

FUEL, GAS AND TYRE PRESSURES

​

The vehicle is supplied with a full tank of diesel and MUST be returned with a full tank of diesel.  The vehicle is also supplied with enough gas for the duration of your hire. You are not required to refill the gas on return.

Fuel, oil, windscreen wipers and tyres (and any damage to them) are your responsibility and you must check and maintain the pressures, condition and levels.  Any damage to these items, including punctures, will be rectified at your cost. They are NOT covered under insurance.

 

CANCELLATION POLICY - CHARGES WILL APPLY.

 

Charges will apply for cancellations. If you need to cancel your booking, please contact us as soon as possible. We will require your cancellation in writing thereafter and the following charge will apply:

 

•    More than 6 weeks before : 50% of the booking deposit will be retained

•    6 weeks - 2 week : 50% of the total hire charges will be retained

•    2 weeks – no show : 100% of the total hire charges will be retained

 

Although we do not offer this service we do advise you to take out Personal Holiday Insurance.

 

 

FORCE MAJEURE

 

We will make every effort to ensure that the reserved vehicle is available for you as per your booking. If, due to circumstances beyond our control, this is not possible and if an alternative available vehicle cannot be sourced our liability is limited to the FULL refund of all monies paid by you to Cotswold VW Camper Hire Ltd.

 

Cotswold VW Camper Hire Ltd reserve the right to cancel the hire if at the commencement of the hire the drivers license is invalid, or is not in accordance with the conditions set out in the DRIVERS section above.  In these circumstances the total hire charge will be retained by Cotswold VW Camper Hire Ltd.

 

If the hirers information is found to be false during a hire Cotswold VW Camper Hire Ltd reserve the right to repossess the vehicle.  In this event all charges associated with the repossession process will be passed onto the hirer and deducted from the Security Deposit. In this event any unused days of hire charge will be retained by Cotswold VW Camper Hire Ltd.

 

 

GENERAL

 

  1. The hirer understands that Cotswold VW Camper Hire Ltd do not permit pets in any of their vehicles.

  2. The hirer understands Cotswold VW Camper Hire Ltd operate a strictly NO SMOKING policy within any of their vehicles.

  3. The hirer agrees that any loss or damage to items listed on the Inventory will be charged at replacement cost on a like for like basis.

  4. Cotswold VW Camper Hire Ltd vehicles are ready for hire in excellent clean condition.  The hirer agrees to return the vehicle in a presentable clean condition inside. The exterior cleaning will be carried out by Cotswold VW Camper Hire Ltd at no cost to the hirer.

  5. Collection of the vehicle is between 2pm and 5pm on the day of hire. Please allow an hour so we can go through the necessary paperwork and show you how everything works so you can get the maximum out of your holiday.                            

  6. Return of the vehicle is between 9am and 11am.

  7. The hirer may park one car free of charge at Cotswold VW Camper Ltd  for the hire period. The hirer is aware that Cotswold VW Camper Ltd accepts no responsibility for any damage that might occur to the vehicle during this period.

  8. In the event of a breakdown our Vans are covered by Volkswagen Roadside Assistance. Contact details will be provided on collection.
